Opportunity ID Requirement and Validation Support
Overview
Starting in January 2025, HPE CloudPhysics will implement a new and rigorous Opportunity ID validation process for the HPE CloudPhysics customer invitation and new assessment processes to ensure all Opportunity IDs are valid, active, and associated with the correct customer. This process has been mandatory since June of 2023, but opportunity ID validation/enforcement was not enforced in favor of streamlining the process for new HPE partners. We are now enabling the extra steps for validating the Opportunity ID to allow us to integrate processes and data back to HPE Salesforce for reporting. The accuracy, this Opportunity ID is essential to keep HPE data accurate and to prevent the cross-contamination of data between multiple customers.
This new validation step will ensure that ALL opportunity IDs are valid before we allow an assessment to begin.
Obtaining Opportunity ID
The new process requires all individuals inviting new customers or starting an HPE CloudPhysics assessment to have or generate a valid HPE Opportunity ID. This can be achieved through the HPE Partner Ready Portal (PRP) (https://partner.hpe.com/web/prp) or from the HPE Global Salesforce instance for HPE Sales teams. If you are unfamiliar with the process of generating an Opportunity ID in Partner Ready Portal, please contact support in the PRP or follow the steps below.
For HPE Partners, deal registration and opportunity ID’s can be generated in the Partner Ready Portal. Here are the steps to initiate a new deal registration an receive an opportunity ID.
- Log in via PRP (https://partner.hpe.com/web/prp)
- Open Deal Registration tool
- Opportunity Creation
- Select customer.
- Select distributor.
- Select products.
- Apply for Deal Registration.
- Provide Business justification
- HPE validates eligibility (6 months validity).
- Get price quote.
HPE Sales teams can generate a new Opportunity ID tied to a valid customer in HPE salesforce
Opportunity ID Validation Steps
Starting in January 2025, we will test key attributes of an opportunity before we allow an invitation to be created or a new assessment is assigned to a customer. A valid Opportunity ID is required, and the Customer and Partner relationship must exist to allow the assessment to be created.
These are the validation tests that must be passed to allow a new invitation to be approved or a new assessment to be assigned to an existing customer.
- Opportunity must be formatted correctly.
The format for an Opportunity ID must be in the format of OPE-0123456789 with the OPE- followed by nine digits. You cannot submit or progress until the OPE ID is in a valid format. Please note: Some partners may be allocated a special formatted ID. - A valid Opportunity ID in the HPE Salesforce system.
A check to identify if the Opportunity ID is present in the HPE Salesforce system. This will eliminate invalid OPE ID’s. - Opportunity must be Active / Not Closed / No Error
The following validation check will confirm that the Opportunity ID is still active and not closed. Closed or error state will result in assessment rejection. An Opportunity must be new, active, and not closed to be considered a valid Opportunity to HPE. - Associated with the invited customer domain.
A validation check will require the customer contact email address/domain to be on file with the identified opportunity. We will validate the invited recipient’s email address against the email domains of the customer contacts. This domain must match a user email domain to be considered valid. If the user’s email domain is not found, then the assessment will be deemed invalid. Only the customer’s email from the customer domain will be accepted for the assessment. It is invalid to invite HPE.com or Partner domains as a primary contact for ANY HPE CloudPhysics assessment. Example: You are inviting customer AcmeXYZ (email domain: acme-xyz.com) to an assessment. The contact that you are inviting must have an email address in the customer domain, and the customer domain must be tied to the Salesforce opportunity. The identified customer domain in Salesforce and the email address of the invited user must use the same domain or other domain that is associated with the customer. In this case, Acme-xyz.com - Your HPE CloudPhysics Partner/Employee Account email/domain must be associated with the Opportunity
This requirement means that your company domain must be a part of the account team entitled to view or be associated with the opportunity. Example: You invite a new customer, acme-xyz.com, to an assessment, and you belong to the organization globalpartner.com. The HPE Salesforce record for the Opportunity ID must contain account team members who either created the opportunity or are associated with the opportunity. This could include your email or domain (example: globalpartner.com). In order for the opportunity to be approved, your email domain (used for your HPE CloudPhysics Account) must be registered as a valid account team member for the opportunity. This is to prevent 3rd parties from appending themselves to opportunities where they are not identified in Salesforce as entitled to the sales opportunity. If HPE created the opportunity, and shared the opportunity with an HPE Partner, then the HPE account team must also add the HPE partner to the opportunity if the partner intends to use the Opportunity ID for their own assessment. If the HPE partner is associated to an opportunity, and HPE wishes to use the same opportunity ID for the customer, then the HPE account team must also be appended to the registered deal.
If your organization uses a different email domain for deal registration than your HPE CloudPhysics user account email domain, the validation step will fail. Your organzation deal registration email domain must match the deal registration domain to be considered valid.
HPE Employees and HPE Partners will need to ensure the OPE ID is valid and that the customer contact invited is associated with the Opportunity ID associated with the Opportunity ID.
Error Messages
Here are the error messages you may encounter and the underlying issue that must be addressed before submitting your data for a new assessment.
Error 1: The opportunity ID is formated incorrectly.The OPE-ID is in an invalid format. Typically in the format of OPE- and 10 digits. Ex: OPE-0123456789. See validation rule 1 above.
Error 2: This Opportunity ID is not found.This will occur only if the Opportunity ID is invalid and does not match any Opportunity in Salesforce. See validation rule 2 above.
Error 3: This Opportunity ID is closed.You are attempting to use an Opportunity ID that has already been closed. Please create a new opportunity ID or contact the account owner to ensure the deal has not been closed. A new OPE ID will be required. See validation rule 3 above.
Error 4: This Opportunity ID is not valid for this customer.This occurs when the email address of the customer being invited does not align with the customer domain or contacts in Salesforce. See validation Rule 4 above.
Error 5: Your organization is not allowed to use this Opportunity ID.This occurs when your email domain is not associated with an opportunity. If you created the opportunity, you should be using the same email domain as the email address you are using to invite the customer. If you created an Opportunity, and HPE has closed the opportunity, created a new opportunity, and appended your organization, ensure they added your email address to the opportunity. If you continue to have issues, please contact CloudPhysics@hpe.com or your HPE account team to confirm who can access the opportunity. HPE CloudPhysic Support is unable to provice Salesdorce opportunity validation or support. See validation Rule 5 above.
Abuse
Please note that multiple invalid Opportunity IDs or misuse of Opportunity IDs will result in user account termination. Always ensure your Opportunity ID is valid in the HPE Partner Ready Portal or Salesforce before you begin a new assessment.
